Duration: Temporary, approximately 6 months
Location: Hybrid - Southend-on-Sea, Essex, with approximately 2-3 days per week in the office
Hours: Part-time, likely 4 days per week, 9:00-17:00 or 9:30-17:30
Pay: £14.71 per hour plus £1.78 per hour holiday pay (equivalent to £26,780 FTE)

Charity People is delighted to be partnering with Havens Hospices to recruit a Fundraising Administrator to join their Fundraising and Marketing team on a temporary basis.

Havens Hospices provides specialist palliative and supportive care to children, young people and adults, supporting patients and the people important to them when they need it most. Fundraising plays a vital role in enabling the charity to continue providing its care and support across Essex.

This is a fantastic opportunity for an organised, proactive administrator to join a busy fundraising team and provide essential support across a wide range of fundraising activities. You'll be joining a collaborative team where strong administration, excellent supporter care and accurate data all play an important part in helping fundraising run effectively.

About the Role

Working across the Fundraising team, you will provide day-to-day administrative support while helping ensure supporters receive an excellent experience.

This is a varied role covering fundraising administration, supporter communications, donation processing, CRM/database management and event support. You'll help keep fundraising activity running smoothly behind the scenes while also having direct contact with supporters, responding to enquiries and ensuring donations and communications are acknowledged appropriately.

You'll also support the team with fundraising events and activities, financial administration and maintaining accurate supporter records.

This would suit someone who enjoys getting stuck into the detail, is confident juggling different priorities and takes pride in providing a responsive and professional service.

Key Responsibilities

• Provide administrative support across fundraising activities, campaigns and events
• Help maintain positive relationships with supporters through information, updates, communications and thank-you messages
• Respond to supporter enquiries and provide excellent supporter care, including conversations which may occasionally involve sensitive or emotional subjects
• Process donations accurately and securely, ensuring appropriate records are maintained
• Manage and track invoiced fundraising income
• Maintain accurate supporter and fundraising records using Raiser's Edge and other CRM systems (essential system experience).
• Raise purchase orders and monitor these through to payment, helping maintain accurate fundraising expenditure records
• Support fundraising events and activities, including third-party fundraising
• Help improve administrative processes, data quality and ways of working to enhance the donor experience
• Maintain accurate records in line with data protection, financial controls and fundraising regulations
• Provide wider administrative support to the Fundraising team as required
• Support volunteers and help them feel part of the wider team

We're particularly interested in hearing from candidates with:

• Previous experience providing administrative support
• Strong organisational skills and the ability to manage a busy and varied workload
• Excellent attention to detail and a commitment to accuracy
• Strong written and verbal communication skills
• Excellent customer service or supporter care skills
• Confidence communicating with a range of people by phone and email
• The ability to work independently, use initiative and solve problems
• Experience maintaining accurate records, databases or CRM systems
• Good IT skills, including Microsoft Office
• The ability to prioritise competing demands and work to deadlines
• A proactive, positive and flexible approach
• The ability to build effective working relationships with colleagues and stakeholders

Hiring Process

This is an urgent temporary requirement, and applications will be reviewed as they are received.
