AEN/SEND Administrator

We are seeking a dedicated AEN/SEND Administrator to provide high-quality administrative support within our Additional Educational Needs (AEN) and Special Educational Needs and Disabilities (SEND) department. This role is crucial for ensuring effective coordination of processes relating to SEND, maintaining accurate records, and supporting the administration of Education, Health and Care Plans (EHCPs).

Day-to-day of the role:

  • EHCP Administration:

    • Maintain accurate and up-to-date records for learners with EHCPs.
    • Monitor EHCP annual review dates and coordinate review processes.
    • Prepare documentation and gather evidence for annual reviews.
    • Liaise with Local Authorities regarding EHCP applications, reviews, and amendments.
    • Track EHCP funding arrangements and maintain relevant records.
    • Ensure all EHCP-related documentation is securely stored and GDPR compliant.
  • SEND Administration:

    • Provide administrative support to the SEND/AEN team.
    • Maintain learner records and SEND registers.
    • Assist with the identification and tracking of learners requiring additional support.
    • Support the implementation and monitoring of support plans.
    • Produce reports and management information as required.
  • Communication and Liaison:

    • Act as a point of contact for staff, parents/carers, Local Authorities, and external agencies.
    • Schedule meetings, reviews, and assessments.
    • Take minutes and distribute actions arising from meetings.
    • Support effective communication between curriculum teams and SEND services.
  • Compliance and Quality Assurance:

    • Ensure compliance with the SEND Code of Practice and relevant legislation.
    • Maintain confidentiality and data protection standards.
    • Support audits, inspections, and quality assurance activities.
    • Contribute to continuous improvement within the SEND provision.
    • Relevant administrative qualification or equivalent experience.
  • Essential Experience:
    • Experience working in an administrative role within education, SEND, or a related environment.
    • Experience supporting learners with SEND.
    • Experience administering or supporting processes relating to EHCPs.
    • Experience liaising with Local Authorities and external agencies.
    • Experience maintaining accurate records and databases.
  • Essential Knowledge:

    • Understanding of SEND legislation and the SEND Code of Practice.
    • Knowledge of EHCP processes, annual reviews, and statutory requirements.
    • Understanding of confidentiality, safeguarding, and GDPR requirements.
  • Essential Skills:

    • Excellent organisational and administrative skills.
    • Strong written and verbal communication skills.
    • Ability to prioritise workloads and meet deadlines.
    • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
    • High level of accuracy and attention to detail.
    • Ability to work independently and as part of a team.
